Woodborough Village Pre-School Fees Policy

Woodborough Village Pre-School staff and committee endeavour to provide the best childcare and education at an affordable rate for the community.

Woodborough Village Pre-School is a registered charitable association, it is not a profit-making organisation and therefore relies heavily on the prompt payment of fees in order to function.

Families who pay their fees punctually cannot be expected to support those who delay payment. 

  1. PAYMENT OF FEES

    1. Current fees are £5.20 per hour.

 

  1. Fees are paid monthly in advance. Parents/ Carers will be invoiced at the beginning of the month.

 

  1. In order to reduce operating costs (printing, distribution) the invoices will be sent to the Parent/ Carer by e-mail.

 

  1. Fees are payable by a bank transfer, childcare vouchers or a cheque. 

Cheques are payable to "Woodborough Village Pre-School". 

Please, put name of your child in reference of the bank transfer and at the back of the cheque.

 

  1. Fees should be paid within 14 days of the payment date given on the invoice. If payment is not made within this timescale, a reminder will be sent to the Parent/Carer.

 

  1. Should a problem arise concerning payment of fees, Parents/Carers should speak to the Pre-School Administrator or the Chair as soon as possible to enable the pre-school to come to an agreement regarding payment. Confidentially will be assured.

 

  1. In the event of the fees being overdue for more than 60 days this may result in your child's place being allocated to another child.

 

  1. Pre-School requires 4 weeks' notice in writing should changes to session be required.

 

 

  1. ADDITIONAL HOURS

 

  1. Any additional hours must be agreed with the Supervisor or her Deputy.

 

  1.  Additional hour’s fees will be included in the next monthly Invoice.

 

 

 

 

 

 

  1. SICKNESS    

 

Fees must still be paid if children are absent as the preschool still has to employ and pay the staff.  If a child has to be absent over a long period of time, the Committee Chair should be consulted, and a decision will be made about fees. 

 

  1. HOLIDAYS

    1. The Pre-School is closed on all Bank Holidays thus no fee is collected for these days.

 

  1. If a child has a planned holiday that falls during term time, fees will be reduced by 50% for the period of absence subject to the preschool receiving a minimum of four weeks' notice in writing. This will be for a maximum of 2 weeks (pro rata) in any academic year.

 

  1. LATE COLLECTION FEES

We operate a late collection fee of £10.

 

This charge is necessary due to the tight schedule with staff having short periods after sessions to plan and prepare for the next day. Any late collection impacts on this and therefore has cost implications for the Pre-School.  We are a flexible organisation and reserve the right to waive the fee in exceptional circumstances.  

 

  1. TERMINATION

Half a terms notice is required if the child is leaving the school.

 

  1. EMERGENCY CLOSURE

 

If the Pre-School has to close for reasons beyond our control, such as snow, floods or any other Acts of God, then we will be unable to offer refunds for fees.  This is due to the requirement to still pay staff and rent in these circumstances.  

 

  1. HARDSHIP POLICY

For cases of hardship, the Parents or Carers should have a meeting with the Chair and the Supervisor to discuss their individual case.  The Pre-school will endeavour to accommodate genuine cases of hardship.

 

Cases of hardship may be discussed at Committee Meetings on an anonymous basis only and will be kept confidential between Committee members and not discussed outside of meetings.
